At a glance
When collecting the vehicle, the lead driver must present the following:
- Driver's license
(If your license is not written in English or does not show your photo, an International Drivers License is also required).
- Credit card in the lead driver's name (AMEX, Diner's Club, Visa or Mastercard only).
- Booking confirmation email (Bidvest state that this must be a printed copy.)
- International Renters - Passport and return flight ticket
When collecting your vehicle you will be required to leave a security deposit on your credit card.
Without selecting further cover, you will pay the full security deposit of R4500
This will be refunded on return so long as your vehicle is not stolen or damaged and is returned with a full tank.
If you wish to reduce the size of the deposit, look to purchase Bidvest Car rental's premium cover (known as "Super Waiver") on our site or at the collection desk.
Full to full:
All vehicles will be given with a full tank of fuel and should be returned full to avoid additonal charges. Bidvest will attempt to refuel all vehicles when you return and, if they can put more than R50's worth of fuel in the vehicle, you will be charged for missing fuel plus a service fee of R30.
(In South Africa, if you'll be filling up at a regular service station, it is advisable to always have some spare cash ready to pay for fuel as credit cards are not always accepted).

Fees and Taxes
We include all taxes, contract fees and tourism levies in the price shown.
Admin fees: Please also be aware that most suppliers charge administration fees following damages or for processing fines. For Bidvest in South Africa you may be charged the following:
- Traffic Fine Admin. Fee: R295 per fine
- Claims Handling Fee (following any damage or theft): R825
- Damage Assessor's Fee: R825 when damage is valued at more than R5,000
- Toll Administration: Bidvest charge an administration fee of 20% for processing of any eletronic toll charges.
Delivery & Collection
If you would prefer not to have to go to the rental office to collect or return the vehicle, you may place your booking and then contact your Bidvest office to make the arrangements. You should contact the office to arrange this at least 48 hours before it's required. Costs vary but a typical delivery/collection (in normal opening hours and within 25km of the office) would cost R 500
You will find Bidvest's counter in the main car rental area. Just follow signs from the arrivals hall.
When collecting the car, the lead and any additional drivers must present their full, valid driver's license. There can be no restrictions against driving your chosen class of vehicle. Photocopies are not accepted.
Each driver must be at least 18 years of age. That said, those aged 18-20 are not covered by Bidvest's standard insurance and will need to purchase an additional policy at the collection desk.
Bidvest have no requirement for you to have had your license for any specific period before you can hire.
If your license is not written in English, you will also require an International Driver's License.
Bidvest requires that the lead driver shows a credit card in their name when collecting the vehicle. All major credit cards (included Visa, Mastercard and American Express) are accepted. Debit cards will not be accepted.
Please ensure that the card does not expire until after the vehicle is returned and that it has been cleared by your bank for use in Africa.
A deposit will be blocked on this card when your rental commences which means that those funds will not be avaiable until after the vehicle is returned.
Once your paperwork has been inspected, you will be asked to sign a Rental Agreement. This is a contract between you and the car hire company and contains the terms and conditions for your rental. The agreement may include some location-specific conditions as well as setting out the limitations of any cover you have and the extra costs you may be liable for. You will be given the keys once you and any additional drivers have signed the agreement but don't rush, once you've signed you are legally bound to the terms of that document.
Cross Border Rules
To take the vehicle outside South Africa, you must request a letter of authorisation at least 24 hours prior to collecting your car. You may travel to Swaziland, Lesotho and Botswana for a charge of R1330 or to Mozambique, Zambia* and Zimbabwe* for R3180 (charges are on a per-country basis).
Should your vehicle be damaged and need recovering when outside South Africa, you will be charged an additional repatriation fee. Make sure to research the border crossing points, opening times, license & visa requirements and charges before you travel.
* If travelling to Zamibia or Zimbabwe, be aware that this is only permitted when hiring a "suitable" vehicle type and only when travelling to Vic. Falls or Livingstone. Most importantly, be aware that your vehicle is not insured in these countries and you are liable for all costs.
If you will be late for collection, Bidvest will hold your vehicle until you arrive at no extra charge. If you are late due to a delayed flight and you have provided a flight number, the staff will usually keep the office open for you if arriving a little after closing time. In any case it is still advisable to contact your collection office to inform them of your situation.
Insurance and Cover
Included in the price
This product includes Collision Damage Waiver (CDW) with Theft Protection and Third Party Liability Cover. This means that you are insured for damage to or theft of the vehicle and also against any third party claims.
Should there be a claim, you will be liable up to the full value of the excess amount unless additional insurance is taken out.
Bidvest's standard and super waiver products offered on this site do not cover you for damage to tyres, wheels or glass and nor do they provide cover for damage caused by hail (which can be a risk in South Africa's summer months). As with any policy, you are also not covered for incidents caused by driver negligence such as lost keys, water or dust damage or damage to the underside of the vehicle. You may not drive the vehicle on sand or gravel roads. Vehicles are hired for personal use only.
Should there be an incident, you would also be liable to pay additional fees for Accident Administration, Damage Assessors and any towing charges.
This vehicle comes with basic cover for theft or damage to the vehicle. Should there be any damage, you will be liable for up to R14627 (inclusive of taxes). If you would like to remove this risk, look to add premium cover (known as "Super Waiver") as part of your booking.
Please pay attention to the procedure for reporting an incident which will be explained in your rental agreement at the collection desk. Failing to follow this procedure could result in you being liable for the full value of the claim.
Depending on the supplier, you will typically have two choices when it comes to paying for fuel.
- Full to Full: This is usually the most cost effective option. The vehicle will be fuill when you collect and you must fill it up again just prior to return. If you select this policy and do not re-fill the vehicle, the supplier will charge you for the fuel you have used at a price that is often higher than would be charged at a local service station.
- Pre-paid: This is the most convenient option. You pre-pay your tank of fuel (including a service charge) which means you collect the vehicle full and can return it empty at no extra charge. Note that you will not be refunded for fuel you do not use. Some suppliers give us the "pre-paid" rate where we include this in your price but usually we offer "Full to Full" and you would ask to pre-pay your tank at the collection desk.

There is no need to pre-book additional drivers as they can be added at the collection desk. All drivers must be at least 18 and the cost will be R 410 per driver. Each additional driver will need to present their license and passport at the collection desk.
For those with young children, please be aware of the child seat laws in South Africa. The law is quite basic and states that all children aged less than 3 must be in a child seat and, for those aged less than 1 or weighing less than 9kg, the seat must be rear-facing. Beyond that it is up to you but South African roads can be quite dangerous so we still advise child seats for older children as well.
Bidvest offer three types of child seat - Infant Seat (0-6 months); Toddler Seat (6 month to 3 years) and Child Seats (3 years+). Most Bidvest locations also GPS devices. Bike racks and trailers may also be available but usually by special request only.. You should add these to your booking if possible or, if not, contact your rental office prior to arrival to ensure they have availability
Changes to length of rental
On returning the vehicle you will have a 30 minute grace period for late returns before you may be charged for a whole, additional day's rental. If you return the vehicle more than 24 hours late without prior arrangment, you will also be charged a R800 "Overdue Rental Admin. Fee". Make sure to contact your return office if you will be arriving after closing time.
You can decide to reduce your length of rental at the collection desk and you will only be invoiced for the days you are using. Once you have collected the vehicle however, you may still return the vehicle early but now you would not be refunded for any un-used days.
If you wish to extend your rental after you have collected the vehicle, you must contact your return office at least 2 hours before the scheduled end of your rental. You may be asked to return the vehicle for inspection. If you do not arrange an extension and are more than 24 hours late to return the vehicle, you will be charged a R800 "Overdue Rental Administration Fee".
It is free to cancel your booking at any time until 48 hours before collecting the vehicle. Once within 48 hours of collection, you will not be able to cancel your booking and any payments made cannot be refunded.
If you wish to make changes to your booking, you will most likely be required to cancel and rebook. There is no cost for cancellations. If you only wish to change your flight or phone number, you can email our customer services team on email@example.com.
Refunds after vehicle collection
The suppler may refuse collection of your vehicle for reasons such as not being fit to drive, missing required identification or not having the correc type of payment card in the lead driver's name with sufficient funds available. In the event of such a refusal, no payments made will be refunded.
The supplier does not offer credit or refunds for early returns of the vehicle.
In the event of "Delayed Charges" (fines, motorway tolls, failing to refuel, extra days, damages, loss and any associated admin charges), your Security Deposit may only be part-refunded.
Unless we indicate a "guaranteed model", vehicles are reserved by class of vehicle and not by make and model. The vehicles displayed are the commonly used models for our partners in your chosen country. If that particular vehicle is not available, the supplier will typically offer another vehicle of the same or higher class at no additional cost.
If you are travelling with disabled passengers, be sure to forward your confirmation email to firstname.lastname@example.org with any special requirements and we will forward these to the supplier for you. We can't offer any guarantees that they will be able to help but we're happy to try. If you're collecting from an airport, providing your flight number will help.
