At a glance
When collecting the vehicle, the lead driver must present the following:
- Valid driver's license
- Credit or debit card in the lead driver's name
- Booking confirmation email
- DVLA License Summary Report or Check Code
When collecting your vehicle you will be required to leave a security deposit on your credit card which can be up to the cost of your insurance excess
(£1000) PLUS the cost of 1 tank of fuel PLUS a day's rental. This will be refunded on return so long as the tank is full and your vehicle is not stolen or damaged.
The supplier accepts all major credit cards (Visa, Mastercard, American Express, Diners Club, Hertz Charge Card, Mileage Plus First Card, Optima and Vector).
Debit cards - you may pay the deposit on a debit card (Visa, Mastercard or Eurocard) but you must still present a credit card in the lead driver's name.
Full to full. - Your vehicle will be provided with a full fuel tank at the start of your rental. You are responsible for returning the vehicle with a full fuel tank. You are asked to re-fuel within 10 miles of the drop-off location and show your receipt. If the vehicle is returned with less fuel you will be required to pay for the missing fuel plus a refueling service charge of around £20 (prices vary by country and vehicle type).
If you don't wish to refuel the vehicle prior to return, you can buy the Fuel Purchase Option that will be offered at the collection desk.
Your mileage is unlimited with no special requirements or extra costs.
There is usually no charge for taking a vehicle into another country but you must inform the agent at the collection desk if you wish to do so.
Fees and Taxes
All taxes are included in this rate.
When collecting the car, the lead and any additional drivers must present their valid photo driver's license. Photocopies are not accepted.
All driver's must be at least 23 years of age and have held their license for at least 1 year.
If the License is in a language other than English, a certified English Translation or International Driver permit is strongly recommended. In all cases, a valid Driver License issued from your home country must be provided. You will not be allowed to rent with only an International Driver Permit.
DVLA License Summary
Customers with a UK driver's license should also provide a License Summary report which you can get for free online from the DVLA. Enter the necessary details and you will get to the 'View you driving licence' page. From here:
- Click on the tab named 'Get your check code'
- Click on the 'Create a Code' button.
If you have a printer you can click the link 'Print or save a driving summary' and print a copy of your Licence Summary. If you don't have a printer, just take a note of the Unique Code that was given and share this at the collection desk. The Licence Summary can be used for up to 30 days from the date it was generated.
This supplier accepts all major credit cards (American Express, Diners Club, MasterCard and Visa) and Visa or Mastercard debit cards.
With debit cards, the full security deposit (£1000) will be withdrawn from your account and only refunded when you return the vehicle. This refund process can sometimes take 4-7 days to process.
No other forms of payment (cash, cheque, pre-payment cards) are accepted.
The card used at vehicle collection must be in the lead driver's name and cannot expire prior to your return date.
Once your paperwork has been inspected, you will be asked to sign a Rental Agreement. This is a contract between you and the car hire company and contains the terms and conditions for your rental. The agreement may include some location-specific conditions as well as setting out the limitations of any cover you have and the extra costs you may be liable for. You will be given the keys once you and any additional drivers have signed the agreement but don't rush, once you've signed you are legally bound to the terms of that document.
Cross Border Rules
Standard vehicles (max 5 seats and including smaller vans) that are hired in the UK may be taken to continental Europe (including by ferry) but you must inform the agent on collection of the vehicle and a 'Continental Surcharge' will be added. This covers the cost of them issuing a 'VE103B' form which you require by law to prove that the supplier has authorised your travel abroad. This is not required for travel between Northern Ireland and Great Britain.
Insurance and Cover
Included in the price
This product includes Collision Damage Waiver (CDW) with Theft Protection and Third Party Liability Cover. This means that you are insured for damage to or theft of the vehicle and also against any third party claims. Should there be a claim, you will be liable up to the value of the excess payment unless additional insurance is taken out.
Basic Roadside Assistance is provided but you may be liable for the costs should you deemed to be at fault. You will be offered "Premium Emergency Roadside Assistance" at the collection desk to cover this.
The standard insurance does not include coverage for damage to glass/windscreens or wheels and tyres.
It also does not include any Personal Insurance for you and your passengers which would cover you in the unfortunate case of injury, medical expenses and death, or loss of or damage to possessions when using the vehicle. You will be offered Personal Insurance at the collection desk.
This vehicle comes with basic cover for theft and damage to the vehicle where you would be liable to pay up to the full value of the insurance excess should there be any claims..
For this vehicle the insurance excess is £1000 (inclusive of taxes).
Both Stress Free and the supplier offer excess protection products to provide extra cover for this.
Please pay attention to the procedure for reporting an incident which will be explained in your rental agreement at the collection desk. Failing to follow this procedure could result in you being liable for the full value of the claim.
Your vehicle will be supplied with a full tank and should be returned full to avoid further charges.
If you would rather not have to re-fuel, you can pre-pay your tank with the "Fuel Purchase Option" at the collection desk. Just be aware that with this option you will not be refunded for any fuel that you do not use.
Additional drivers are added at the time of collection. The additional driver fee is £11.91 per day, per additional driver (to a maximum per driver of £119.16). There is no limit on the number of additional drivers that can be added.
As with the main driver, the additional drivers must be at least 21 and have had their license for at least 1 year. Be aware that larger or more expensive vehicles require all drivers to be 25 or older.
When driving in the UK, any child who is under 12 years old or less than 135cm (4ft 5in) must use a child seat. The supplier provides the following:
- Infant Seat: 0 to 6 months of age (up to 10kg)
- Child Seat: 6 months - 3 years (10 - 22 kg)
- Booster Seat: 3 - 7 years (22 - 36 kg)
Infant and child seats must be pre-booked with at least 24 hours notice to guarantee availabilty. Prices are £10 per day to a maximum of £70.
The supplier also offers a GPS system called 'Neverlost' which costs £16.67 per day, £83.33 per week or £166.67 per month.
Changes to length of rental
On returning the vehicle you will have a 29 minute grace period for late returns before you will be charged for a whole, additional day's rental plus a Late Return Charge.
Vehicles may be returned early and you will only pay the days used but there may be an Early Return Charge for doing so.
If you are renting the vehicle for more than 28 days, you must return the vehicle for inspection to one of the supplier's offices.
It is free to cancel your booking at any time until 48 hours before collecting the vehicle. Once within 48 hours of collection, you will not be able to cancel your booking and any payments made cannot be refunded.
If you wish to make changes to your booking, you will most likely be required to cancel and rebook. There is no cost for cancellations. If you only wish to change your flight or phone number, you can email our customer services team on firstname.lastname@example.org.
Refunds after vehicle collection
The suppler may refuse collection of your vehicle for reasons such as not being fit to drive, missing required identification or not having the correc type of payment card in the lead driver's name with sufficient funds available. In the event of such a refusal, no payments made will be refunded.
The supplier does not offer credit or refunds for early returns of the vehicle.
In the event of "Delayed Charges" (fines, motorway tolls, failing to refuel, extra days, damages, loss and any associated admin charges), your Security Deposit may only be part-refunded.
Unless we indicate a "guaranteed model", vehicles are reserved by class of vehicle and not by make and model. The vehicles displayed are the commonly used models for our partners in your chosen country. If that particular vehicle is not available, the supplier will typically offer another vehicle of the same or higher class at no additional cost.
If you are travelling with disabled passengers, be sure to forward your confirmation email to email@example.com with any special requirements and we will forward these to the supplier for you. We can't offer any guarantees that they will be able to help but we're happy to try. If you're collecting from an airport, providing your flight number will help.
