General terms and conditions

The following terms and conditions relate to the process of booking car rental on our website. When you collect the vehicle you'll sign an agreement with the car rental provider. Specific rental conditions for the car rental provider are available as you make your way through the booking process on our website. The specific car rental conditions of each car rental provider will vary.

Vehicles

When collecting the vehicle, we recommend thoroughly checking the vehicle for damage before driving away from the collection area. Ensure that any damage on the vehicle is documented by the car rental provider at the time of collection. We also recommend taking photographs of each area of the car in case of any damage you could have missed when collecting.

Before driving the vehicle away your check should include (but is not limited to) the lights, tyres, spare wheel, indicators, internal / upholstery damage. Also check that the car has the correct amount of fuel in line with your booked fuel policy.

If you are not completely satisfied with the vehicle you should request a different vehicle from the car rental provider.

Mechanical problems with your vehicle should be reported to the car rental provider immediately.

The car rental provider reserves the right to refuse to provide a vehicle to any customer who (in their opinion) does not meet their eligibility requirements or is unfit to drive. In these circumstances no refund will be due.

If the vehicle requires extra cleaning when returned the car rental provider reserves the right to apply an additional cleaning charge.

All faults and issues with the vehicle are subject to the agreement between you and the local car rental provider. We deny any liability for any issues relating to the vehicle.

Damage to vehicles

You must notify the car rental provider of any damage to the vehicle immediately. Failure to do so could invalidate your insurance leaving you with financial liability for all of the damage.

If the vehicle is involved in a collision a police report and case number must be provided.

For any damage to the vehicle a damage report must be completed by the driver – no matter how minor the damage appears.

Flight cancellation and delays

If your flight is cancelled or delayed it's your responsibility to notify us and the car rental provider immediately. Failure to do so could result in you being listed as a 'no-show' and being charged the full cost of the booking.

If your revised vehicle collection time is outside of the car rental providers normal opening hours you may be charged an additional fee by the car rental provider.

The additional time that a car rental provider will remain open to facilitate late vehicle collection due to delayed flights is entirely at their discretion. Some car rental providers may list flight delayed bookings as 'no-shows' which will mean that you will need to make a new booking for the following day.

We deny liability for any additional charges relating to flight delays or cancellations.

Out of hours / late / early collections charges

If you're picking up the rental outside of the car rental providers normal hours of operation an additional 'out of hours' charge might be payable at the collection desk. If this charge is applied, we will notify you of this in the booking process and on the booking confirmation email.

We deny any liability for changes made to pick up times, drop off times and associated charges made by car rental providers.

Prices

The prices displayed on our website are brought to you directly through live integrations with our car rental partners. We work closely with our car rental partners to ensure that the pricing displayed is correct. Occasionally pricing displayed on the site may be incorrect. Stress Free Car Rental expressly reserves the right to correct any errors in pricing on the website and on reservations made with an incorrect price.

If the pricing error means that the price is lower at the time of booking we will only charge the lower amount.

If the pricing error means that the price is higher at the time of booking, we will offer you the option to pay the difference or the option to cancel the booking free of charge to book an alternative. We reserve the right to cancel your booking and issue a full refund in this scenario.

The car rental provider is under no obligation to honour a car rental booking which is incorrectly priced.

Credit cards

Most car rental providers require that you have a credit or debit card in the name of the lead driver when you pick up the vehicle. This card cannot pre pay / top up card. Some of the car rental providers also do not accept debit cards. Please check the terms of your selected rental to understand credit/debit card requirements before booking. If you do not have a valid credit or debit card in the name of the lead driver you won't be allowed to collect the vehicle.

Insurance

We offer for sale Stress Free Insurance Cover as an appointed advisor for our insurance broker, Riverside Underwriting. This policy is designed to reimburse the excess amount on your hire car (the amount usually blocked on your credit card). The terms of Stress Free Cover are subject to change from time to time. Please check your policy documents for the details of the policy you have purchased. Stress Free Insurance Cover is cancellable and fully refundable any time before you collect the vehicle.

When you collect the vehicle you will sign a contract with the car rental company. The car rental company may offer additional top up insurances at this time. These insurances are optional. Contracts signed at vehicle collection are strictly between you and the car rental provider. We accept no liability for issues relating to these contracts.

Local information

The information we provide in relation to the location of the car rental provider collection desk, opening hours, meeting instructions and local charges are correct at the time of booking.

We deny liability for any changes made by the car rental provider - however where we are notified of such changes we will endeavour to relay this information to you.

Amending the rental duration

If you would like to extend or reduce the rental duration please get in touch with our customer service centre. They will advise of any additional charges that are applicable.

If you decide to extend the rental after you've picked up the vehicle please get in touch with the car rental provider directly. Late return of the vehicle without notification will void the insurance policy and the car rental provider will apply additional charges at a higher rate.

Cross border charges

If you plan to take the vehicle cross border into another country you must notify the car rental provider. If you fail to do so the vehicle insurance may not be valid. When taking a vehicle cross border break down services may not be offered. Check this by contacting our UK customer service team before you travel.

We deny any liability for changes to cross border charges made by car rental providers.

Road tolls, parking and traffic offences

Any local charges for tolls, parking and traffic offences are between the hirer and the car rental provider (and the relevant local authorities).

Car rental providers may apply an administration charge for handling fines on your behalf.

Toll information provided on our website is for information only. Toll prices may vary from those stated.

Fair mileage policy

Rentals with a duration of 25 days or more are subject to a fair usage mileage policy of 100 miles per rental day. Additional charges may apply if this amount is exceeded.

Cancellation and amendments

Cancellations must be made directly with us by calling the customer service number provided on your booking confirmation.

You will be issued a full refund (car hire and any insurance) provided that you cancel at least 48 hours prior to collection. All bookings become non-cancellable once within 48 hours of collection.

If you purchased Stress Free insurance, this can be cancelled with full refund right up until you sign the rental agreement and collect the keys. To cancel just phone us on the number provided on your confirmation email or email help@stressfreecarrental.com.

All cancellations must be made within our office hours, which are 8am to 8pm Monday – Friday GMT. Requests received outside of office hours cannot be processed retrospectively.

In the event that you do not show up to collect the vehicle at the booked date and time, without cancelling in line with the process outlined here, no refund will be due.

Liability

Clarity Travel Services Ltd (trading as stressfreecarrental.com) acts solely as a car hire broker for independent vehicle rental providers.

The contract for hiring a vehicle is between the hirer and the local car rental provider. The car rental contract between the hirer and the car rental provider is subject to the law of the country in which the vehicle is supplier to you. You will be required to sign a contract with the car rental provider when you collect the vehicle.

Clarity Travel Services Ltd (trading as stressfreecarrental.com) accepts no responsibility whatsoever for loss, damage, injury or death, whether arising from negligence, breach of contract or any other cause.

Clarity Travel Services Ltd (trading as stressfreecarrental.com) deny any liability for the car rental provider not fulfilling their contract.

Complaints

Complaints can be made by email to help@stressfreecarrental.com with the subject 'Complaint'. Complaints will only be handled if made within 30 days of the end of your rental. We aim to resolve all complaints within 60 days
